What is an Avaya License?
Understanding How Avaya Licensing Works
An Avaya license is a digital authorization that unlocks specific features, user capacity, or connection channels on your Avaya IP Office system. Without the correct licenses, certain features simply will not activate — even if the hardware supports them.
Avaya IP Office uses a per-user and per-feature licensing model. This means licenses are purchased based on how many users need access, what level of features they need, and how many external lines (trunks) your business requires. Licenses are tied to your system and are managed through Avaya’s licensing servers.
- Licenses activate features per user or per system
- You only pay for the capacity and features you need
- Licenses can be added later as your business grows
- Licenses are tied to your Avaya system's serial number
- FSI manages license activation and renewals for you

What is an Avaya License?
Understanding How Avaya Licensing Works
Every Avaya IP Office deployment is built from a combination of these four license categories. FSI helps you determine the right mix for your business.
Edition Licenses
The edition license determines the overall feature set available on your Avaya IP Office system. This is the foundation license that unlocks the capability tier of your entire deployment.
- Essential Edition — core telephony features
- Preferred Edition — voicemail, auto-attendant, recording
- Advanced Edition — contact centre & reporting
- Select / Server Edition — multi-site, up to 2000 users
User Licenses
Every person using the system needs a user license. The type of user license determines which features that specific person can access — from basic calling to full unified communications.
- Basic User — simple call handling only
- Office Worker — voicemail and basic UC features
- Power User — full UC, mobility, and conferencing
- Teleworker — remote/softphone access licence
Trunk / SIP Channel Licenses
Trunk licenses govern how many simultaneous external calls your system can handle. Each SIP trunk channel that connects to the outside world requires its own license.
- SIP trunk channel licenses — per simultaneous call
- Determines max concurrent external calls
- Scales independently from user count
- FSI sizes this based on your call volume
Mobility & Remote Worker Licenses
For teams working remotely or using mobile devices, mobility licenses enable softphone apps and remote access to the full office phone system from anywhere.
- Avaya Workplace softphone app access
- Remote worker VPN-less connectivity
- Mobile twinning — ring mobile and desk phone together
- One license per remote/mobile user

FAQ
Frequently Asked Questions
Common questions about Avaya licensing, answered.
Can I transfer Avaya licenses to a new system?
In most cases, Avaya licenses are tied to the system they were originally activated on. Transferring licenses to a new system requires approval through Avaya’s licensing process. FSI can manage this transfer request on your behalf when you upgrade or replace hardware.
What happens to my licenses when I upgrade my Avaya system?
When upgrading to a new edition or platform (for example, from IP Office 500 V2 to Server Edition), your existing licenses are typically migrated as part of the upgrade path, sometimes with an upgrade fee. FSI handles this migration as part of our system migration service.
Do I need a separate license for every phone on my system?
You need a user license for every person using the system, not necessarily every physical phone. However, since each user is typically associated with one phone, in practice this often works out to one license per phone. Shared or common-area phones may use Basic User licenses.
What happens if I exceed my licenced user count?
If you try to add more users than your current licences allow, the system will prevent the additional users from being fully activated until more licences are added. FSI monitors this for AMC clients and proactively recommends additional licences before you hit your limit.
How much do Avaya licenses cost?
Licence costs vary based on the edition, licence type, and quantity required. Pricing is not fixed and depends on your specific configuration. Contact FSI for an accurate quotation based on your business needs — we provide transparent, itemized licencing quotes with no hidden costs.
